Job Description:

 

Job Purpose:

The Operations Executive will be responsible for managing customer requests and orders end-to-end for existing customers, maintaining seamless communication between all parties involved, and ensuring project progress is accurately tracked and reported. The ideal candidate will be detail-oriented, possess strong problem-solving skills, and be capable of effectively managing multiple projects simultaneously. While a bachelor's degree and prior experience are preferred, they are not required, and we encourage all interested applicants to apply, including fresh graduates.

Primary Duties:

  • Receive and process customer requests for quotations (RFQs) for existing customers, gathering all the necessary details
  • Utilize company software systems to prepare detailed quotations for existing customers and track the progress of each order
  •  Collect required data from vendor in a pre-determined format prepared by the R&D department as part of the quotation process
  • Work closely with the R&D team and provide them with relevant data for existing customers to assist with compliance requirements
  • Oversee coordination and exchange of necessary documents and information between customers and vendors, ensuring accuracy and compliance
  • Monitor the shipment process, liaising with all parties involved and addressing any arising issues
  • Communicate regularly with customers, providing them with updates about their project status, including any potential or actual delays
  • Maintain a daily record of all active projects, ensuring all information is up-to-date and easily accessible
  • Prepare and send a weekly project report to the Operations Manager, detailing the status of each project, highlighting any issues, and suggesting potential solutions
  • Collaborate with the Finance team to ensure timely and accurate billing for services provided

Basic Qualifications:

  • Excellent communication and coordination skills
  • Proficiency in Microsoft Office is required
  • Attention to detail and a high level of accuracy
  • Highly proficient at written correspondence, including crafting professional emails to customers
  • Strong problem-solving skills and ability to work under pressure
  • Ability to handle multiple tasks and meet deadlines

Preferred Qualifications:

  • Bachelor's degree in business, supply chain management, or related field
  • Experience in operations, logistics, or a related role
  • Strong understanding of international trade regulations.
