OVERVIEW OF POSITION

Action Against Hunger is a globally renowned organization in taking innovative approaches to reduction of hunger and malnutrition.  As an organization focused on ending world hunger, Action Against Hunger is primarily focused in Pakistan on ending nutrition insecurity both by addressing immediate and underlying causes. Action Against Hunger believes that sustainability of our actions, relies on close engagement and collaboration with the Government of Pakistan. Action Against Hunger considers Government of Pakistan as an ultimate stakeholder when it comes to dealing with reduction of hunger and malnutrition in all its form. In this regards, Action Against Hunger considers it necessary that the key stakeholders have profound understanding of the framework in which we are working, be able to provide workable solutions to the government in an advisory role, advise on improvements to the frameworks/policies from a technical perspective and support review of implementation of policies by the Government.

Action Against Hunger seeks employment services of a Reporting Officer to work in Project Development, Communication and Reporting department that is a multi-functional unit leading donor reporting, communication and visibility and internal coordination across Sindh. The position will report directly to the Senior Communication, Visibility & Reporting Manager who in turn reports to the Senior Program Development and Partnership Coordinator.

Reporting Officer will support Senior Communication, Visibility & Reporting Manager in collecting information from all partners and field and prepare the first draft of HQ and donor reports. Reporting Officer will be responsible for coordinating with partners and stakeholders on reports requirements and getting feedback and support from all departments and partners as appropriate. S/He will be responsible for recording, documenting and filing all project internal and external documents and ensure timely and quality reporting to donors.

This is a Karachi based position and will require extensive travel throughout Sindh - Pakistan.

OBJECTIVES

Objective 1

To draft program quality reporting for donor and HQ

Tasks & responsibilities

·         Focal point for PINS ER-2 information and reporting needs;

·         Collect information from all PINS partners and prepare the first draft of monthly, quarterly and annual reports for onward submission to HQ.

·         Use information from program activities, reports and field reporting to compile quick results information products on program status and impact, including success stories, situational reports, AD-Hoc and management reports;

·         Report program status and impact to a number of stakeholders including Govt. of Sindh, Donor and HQ through a variety of formats as and when required;

·         Facilitate line manager in regular update of reporting calendar and maintaining follow-up with team for timely finalization of reports.

·         Provide editorial support, critical inputs and analysis into draft reporting submitted from multiple departments and partners and ensure the quality and presentation of reports shared externally;

·         Review quality of all English version final reporting products prior to release.

·         Travel to the field sites as needed to support program reporting

·         Review all external documents produced through PINS ER2

Objective 2

To support implementation of Action Against Hunger Pakistan’s Communication Strategy in field

Tasks & responsibilities

·         Support Senior Comms. Visibility and Reporting Manager in the development of key communication materials, such as designing and finalization of case studies, IEC material, human interest stories, Annual Reports etc.;

·         Coordinates with team and partners to collect the success stories, ad-hoc reporting, human interest stories, media monitoring, provides substantial inputs to Program team in writing of quarterly reports;

·         Provide support in identifying, engaging, and networking with print and electronic media professionals across Pakistan;

·         Ensure correct use of logos including on procured items;

·         Maintain an up to date and varied store of photos and videos;

·         Maintain framework agreements with printers, publishers, photographers or other visibility related contractors;

·         Prepare any materials required for events in line with visibility requirements of ACF and the donor.

Objective 3

To support internal coordination within the Action Against Hunger Karachi Office

Tasks & responsibilities

·         Support Communication and Reporting team in finalization of internal and external (donor required) progress reports which includes but not limited to APRs, CRFU, Quarterly Reports, and donor reports;

·         Support weekly and monthly meetings, review, and closing meetings, including attendance at meetings;

·         Arrange and minute regular internal coordination meetings such as WCM, MCM, and QCM etc.

·         Comply with all internal policies processes and procedures including financial management systems.

·         Maintain and regularly update the reporting and communication data archive both in soft and hard form which includes proposals, contracts and reports.

Objective 4 (Gender)

To ensure inclusion across departmental work and within/by the team

·          Support mission level qualification for gender marker;

·          Encourage inclusion within recruitment, training and promotion;

·          Ensure inclusion within departmental planning, implementation and reporting.

POSITION REQUIREMENTS

Mandatory

Qualification:

Master and/or Bachelor’s degree in social sciences, development studies or a related field.

SKILLS & EXPERIENCE:

·         Master’s degree in relevant field with minimum 04 years of overall experience in development sector OR Bachelor's degree in relevant field with minimum 06 years of overall experience in development sector

·         Past experience in writing internal and donor reporting

·         Excellent drafting and writing skills,

·         Ability to write various types of high quality communications material (case stories, IEC material, posters, flyers, brochures etc.)

·         Ability to work in a complex structure across partnerships

·         Good communication skills, fluent in English (professional English, reading, writing and speaking needed).

·         Proficient in MS PowerPoint, MS Excel, MS Word, Outlook, and creative applications

·         Willing to travel to the field on occasion

·         Good analytical and communication skills and ability to deal with donors and multi stakeholders

·         Demonstrate strong work ethics with a keen eye for detail.
