Job Description:

Company is hiring. The details are as follow.Job Title: Office Secretary - FemaleLocation: Head Office, Lahore

Qualification: Bachelors

Experience: 2-4 years of experience.

Key Responsibilities:

Executive Support:

  • Manage and maintain the CEO’s calendar, including scheduling meetings, appointments, travel, and conferences.

  • Screen and prioritize emails, phone calls, and other communications, responding as appropriate or redirecting to relevant staff.

  • Prepare and proofread correspondence, reports, presentations, and other documents on behalf of the CEO.

  • Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries.

  • Assist the CEO in preparing for meetings by assembling relevant documents, agendas, and briefing materials.

Communication and Liaison:

  • Act as the primary point of contact between the CEO and internal/external stakeholders, maintaining a professional and courteous demeanor at all times.

  • Liaise with senior executives, board members, clients, and partners as required.

  • Draft and distribute meeting agendas, minutes, and follow-up action items.

Confidentiality and Data Management:

  • Handle highly sensitive and confidential information with the utmost discretion.

  • Maintain accurate records of meetings, decisions, and other key documentation.

  • Organize and manage both electronic and paper filing systems to ensure easy retrieval of information.

Office Administration:

  • Manage office supplies and equipment for the CEO’s office, ensuring everything is in working order.

  • Coordinate with other administrative staff to support broader organizational needs as required.

  • Assist with special projects, research, and reports as assigned.

Skills and Abilities:

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and familiarity with digital collaboration tools (e.g., Zoom, Teams).

  • Strong attention to detail and a high level of accuracy.

  • Professional, polished, and adaptable demeanor.
